At Signature Solutions, one of the most common questions we get from clients is:
“Can you notarize this document?”
It’s a great question—and we’re here to help you feel confident about the answer.
The short version?
There’s no universal list of notarizable documents—but what matters is the type of notarial act your document requires and whether it's legally allowed in your state.
Let’s walk you through what that means, and how we determine if we can help notarize your paperwork—quickly, legally, and securely.
Why There’s No Master List of Notarizable Documents
There are hundreds of documents people may need notarized, from real estate forms and power of attorney documents to school records, travel permissions, and legal affidavits.
What’s important is whether the document includes—or needs—a type of notarial act that we’re authorized to perform.
At Signature Solutions, our commissioned notaries can legally perform a wide range of acts, including:
Acknowledgments (confirming identity and willingness to sign)
Jurats (administering oaths before signing)
Witnessing signatures
Copy certifications (in certain cases, depending on your state)
If your document requires one of these acts and meets all legal conditions, we can help notarize it remotely, from anywhere in the U.S.
✔️ What We Look For Before Notarizing
When you book with Signature Solutions, here’s what we check to ensure your notarization can legally proceed:
1. Does your document include a notarial certificate? This is the section that outlines the type of notarization needed (like an acknowledgment or jurat). If it doesn’t have one, you’ll need to tell us what type of notarial act you want. By law, we can’t choose it for you.
2. Is the notarial act allowed in your state? Some states allow notaries to certify copies or witness signatures; others don’t. We make sure the service we’re providing is 100% compliant with your state’s rules.
3. Will you be present during the notarization? Remote notarization still requires live appearance—via secure video session. You must personally appear before our notary, even if you’re signing from home or on your phone.
4. Are you signing willingly and with full understanding? We check that you’re mentally aware and signing voluntarily. If there’s ever doubt, we’ll pause the process until things are clear.
5. Can we verify your identity? You’ll need a valid, government-issued photo ID (like a driver’s license or passport). We use industry-standard tools to verify your ID quickly and securely.
6. Is your document complete? We cannot notarize blank or incomplete forms. Make sure all necessary information is filled in before your appointment—except the signature, which must happen during the notarization.
7. Is the document legal and valid? We cannot notarize anything that appears fraudulent or violates your state’s laws. Your security and legality matter to us.
🚫 When We Have to Say No
At Signature Solutions, we’ll always walk you through what’s possible—but in some situations, we may need to decline a notarization, such as when:
The signer isn’t present (or doesn’t appear via video)
We can’t confirm the signer’s identity
The document doesn’t include a notarial certificate, and the signer can’t tell us which one is needed
The document is incomplete or appears altered
The notarial act requested isn’t permitted in your state
The notary has a personal or financial interest in the document
You’re asking us to certify copies of vital records (like birth or death certificates), which most states prohibit
🏁 Final Thoughts
At Signature Solutions, our goal is to make notarization simple, secure, and stress-free—whether you're handling a real estate closing, a legal agreement, or a school form.
There’s no fixed list of documents we can notarize, because it’s less about the form itself and more about the notarial act involved. But once we understand your needs, we’ll guide you through the process, let you know what’s required, and make sure your document is handled with the professionalism and accuracy you deserve.
