How to Prepare for a Smooth Online Notarization

If this is your first time scheduling an online notary appointment, you might be wondering what you need to do beforehand. The good news is, it’s a simple and quick process—but a little preparation can make a big difference in ensuring everything goes smoothly.

Before your appointment, take a few moments to gather what you need and check your setup. This ensures your notarization goes off without a hitch and avoids unnecessary rescheduling or delays.

Here’s how to prepare for your remote session:

  • Have a valid photo ID ready.

    • A driver’s license, passport, or other government-issued ID is required and must be current—not expired. You’ll either upload it or show it clearly on video.

  • Use a device with a camera and microphone.

    • A laptop or desktop works best, but tablets and smartphones are acceptable too—as long as the video and audio are clear.

  • Make sure your internet connection is stable.

    • If possible, sit near your router or use a wired connection to avoid dropped calls.

  • Choose a quiet, well-lit space.

    • This helps us see and hear you clearly. Avoid background noise, distractions, or dim lighting.

  • Review your document beforehand.

    • Make sure all information is accurate and filled out—except for the signature and date, which must be completed in front of the notary.

  • Know if you need witnesses.

    • Some documents require one or more witnesses to be present during the signing. If so, they’ll need valid IDs and access to the session too.

During the session, your notary will:

  • Confirm your identity and walk through the document.

  • Guide you as you electronically sign.

  • Apply a digital seal and certificate to complete the notarization.

  • Provide your finalized document immediately after the session.

A well-prepared appointment not only saves you time but also ensures your document is completed correctly the first time. We’re happy to help with any questions in advance, and if you’d like to schedule a quick tech check before your session, we’re happy to accommodate.
